Living and Working in the Digital Age

In June of 2017, the world saw a significant milestone – over 50% of the world’s population (51.7% to be exact) is now on the Internet.  The Digital Revolution, i.e. the change from mechanical and analogue electronic technology to digital electronics, began sometime between the late 1950s to the late 1970s.  However, in recent years, the digital evolution has been swift with both the social web and mobile technology taking hold. These two innovations have significantly changed the way people use the Internet.  The social web (Facebook, Instagram, Snap Chat, etc.) has provided a new way for people to communicate, while mobile technology has made possible a much greater reach of the Internet, increasing the number of Internet users everywhere.

The vast majority of Americans – 95% – now own a mobile phone of some kind.  People also own a range of other information devices, for example nearly 8/10 U.S. adults now own desktop or laptop computers, while roughly 50% now own tablets.  In everyday life, paper is becoming a thing of the past.  People simply don’t print things out anymore; amusement park and plane boarding passes are on people’s phones, receipts from stores are sent via email, newspapers and magazines are read electronically.  With tablets and smartphones that put high-resolution images at your fingertips, and cloud storage services that let you store album upon album to peruse wherever and whenever you want, who needs hard-copies?

So if most individuals have personally embraced the digital age and own smart phones and tablets, why do corporations feel the need to print and keep so much paper in order to do business?  Print is typically the third highest business operating expense behind rent and payroll, with office workers printing 10,000 pages per year at an average annual cost of $725 per worker.

The truth is…companies don’t need to print and physically store everything anymore.  The Internet and cloud computing have eliminated the need for most paper, and companies can save immense time and money if they embrace today’s mobile society and look for ways to digitally transform their businesses.

Going paperless should be the first step in a company’s digital transformation – having the ability to create, access and approve documents anywhere, on any device, is the ultimate goal in streamlining business operations.  Document management is key in this strategy, as it defines how your organization stores, manages and tracks its electronic documents.  Document management benefits are significant, including:

  • Cost savings: eliminate file cabinet and storage costs, reduce printing and form costs, mailing and courier fees
  • Time savings: streamlined processes, significantly decreasing approval cycles, simplified audits, and instant document retrieval
  • Process improvements: instantaneous reporting and auditing capabilities, and workflow automation
